The directors met on May 5 to discuss several issues relating to signing up for rides, including whether and when insurance coverage is available.
It was the consensus of those present that most SOB members would like to know who has signed up for the various Thursday rides and who the ride leader is. Lynn will try to post the information on ride leaders as she had in the past. There are various options for learning who has signed up that the ride director and assistants (Judy, Lynn, and Bob) will explore.
It is not strictly necessary for us to have riders sign up in advance for the rides in order to keep the coverage in force, but we do need to know if a sued rider or rider making a claim is a member of the club and prove that to the insurance company if they question it as part of deciding whether they will cover a claim. At Christine’s last club, they had paper sign ups which they kept for three years, which is how long our insurer told us to keep evidence of our waivers, three years being the statute of limitations for torts.
It would therefore be prudent for us to try to keep for three years a listing of the riders who are on any of our rides that we want to be covered by our insurance policy. Hence, to try to accomplish this, we are asking ride leaders (or someone that they designate) to keep a list of riders on a particular ride and send it to our secretary (Christine), who will keep it for the required three years. This applies to both Thursday rides and ad hoc rides. If writing down names is too onerous, a snapshot may be able to work, although it may be hard to remember faces after two years and eleven months. In addition, it is important to emphasize that riders who veer off the ride are no longer part of the ride and are not covered by our insurance.
It is still helpful for everyone to sign up with Ride with GPS for the Thursday rides. If all riders create (or edit) a Ride with GPS account and used their names and applicable group (such as “Lynn B Group”) as their display name, the problem of knowing who is on a ride from your group might be solved. You can see who has signed up for rides on a phone by clicking on the ride and then the > symbol to right of the number of participants.
